Cancellation & Refund Policy

The Kochi Heritage Project operates on a 100% advance payment basis. Bookings are confirmed only upon receipt of full payment.


1. Guest-Initiated Cancellations

  • Cancellations made 7 days or more prior to the tour date: Full refund.
  • Cancellations made between 7 to 3 days prior: 50% cancellation fee.
  • Cancellations made within 3 days of the tour date: 100% cancellation fee.


Rescheduling: Guests may reschedule to a new date once, free of charge, provided the request is made 3 days or more prior to the original tour date, subject to availability. Reschedule requests made within 3 days of the original tour date will be treated as a cancellation under the tiers above, and a new booking will be required.


Failure to attend the tour (no-show) will result in 100% cancellation charges.


All tours operate rain or shine. Cancellation due to weather by the guest does not qualify for a refund unless the tour is officially cancelled by the Company.


2. Group Bookings

For bookings involving multiple participants under a single reservation (e.g. family groups, institutional groups, or private group bookings):

  • The cancellation tiers in Section 1 apply individually to each participant who cancels, based on the date of their cancellation request.
  • If cancellations reduce a confirmed group below the minimum participant count required for that experience, The Kochi Heritage Project reserves the right to either (a) proceed with the tour at the originally agreed group price, (b) offer the remaining guests a reschedule, or (c) treat it as a Company-Initiated Cancellation under Section 4, in which case a full refund will be issued to the remaining guests.
  • Any change to group composition (adult/child ratio, headcount) must be communicated at least 48 hours before the tour date to allow for storyteller and logistics planning.


3. Force Majeure and Unforeseen Circumstances

If a tour is cancelled by The Kochi Heritage Project due to circumstances beyond its reasonable control, including but not limited to acts of God, war, terrorism, civil unrest, government regulations, airspace closures, airline cancellations affecting Kochi, natural disasters, extreme weather, strikes, public health emergencies, or similar events:

The Company shall, at its discretion:

  • Offer rescheduling to a future date; or
  • Issue a credit note valid for a specified period; or
  • Provide a refund after deducting actual costs incurred on special arrangements (if any), including non-recoverable vendor charges.


If a Force Majeure event affects a guest's travel arrangements but does not affect the operation of the tour in Kochi, Kerala, the Company's default response will be to offer a credit note valid for 12 months from the original tour date, upon submission of relevant documentation. Guests may request a reschedule as an alternative to a credit note, subject to availability. Refunds in such cases remain at the sole discretion of the Company.


4. Company-Initiated Cancellation

The Kochi Heritage Project reserves the right to cancel or modify any tour due to operational reasons, host unavailability, safety concerns, or regulatory directives. In such cases, a full refund of the tour fee shall be provided.


5. Refund Timeline

Approved refunds will be processed within 15 days from the date of cancellation confirmation, subject to the above terms. Refunds, where applicable, will be processed to the original method of payment, net of any non-refundable payment gateway or transaction charges levied by the payment processor.


6. Payment Processing

All payments are processed through Timeless Experiences LLP. Invoices will be issued by Timeless Experiences LLP. Queries may be directed to talktous@kochiheritageproject.in.


7. Governing Law

This policy is governed by the laws of India, and any disputes arising from it shall be subject to the jurisdiction of the courts in Kochi, Kerala.
